What you're actually waiting on
Insurers do not decline claims because the claim is bad. They sit on them because the file is incomplete, and completing the file means asking a person who has just had a bad week for more paperwork:
- Photographs of the damage, from angles that show what happened rather than what's broken
- Repair estimates or invoices, itemised, from a contractor who quotes on paper
- Proof of ownership and value for anything being claimed for — receipts, valuations, serial numbers
- A crime reference number nobody wrote down
- The completed claim form, with the sections everyone leaves blank filled in
- At renewal: updated turnover, headcount, sums insured, and the answers to material-fact questions
- Signed proposal forms and statements of fact, before cover incepts rather than after
Every one is an email away. Every one has a person on the other end who is upset, busy, or convinced they already sent it. And the difference between a claim settled in three weeks and one settled in three months is almost always how quickly somebody chased the fourth item on that list.
Claims involve people who have no relationship with you at all
Your client will, grudgingly, use whatever you give them. But a claim pulls in a contractor, a garage, a loss adjuster, a witness and sometimes a third party's insurer — none of whom are your customer, all of whom have an email address, and not one of whom is going to register for your portal to help move your file along.
The contractor or garage
Providing the estimate the insurer needs. Works from a phone and a van, replies to email, will never log into anything.
The loss adjuster
Their own systems, their own employer, their own caseload. Email is the common denominator.
A third party or witness
Involved once, unwillingly. Will answer a short, specific, courteous email and nothing more demanding than that.
The client's accountant or bookkeeper
At renewal, for turnover figures and headcount the client doesn't know off the top of their head.
Obtainr sends an ordinary email from your ordinary mailbox. It works on anyone with an email address, whether or not they've ever heard of us. There is nothing for them to join.

Describe the chase the way you'd brief a junior
“Get photographs of the damage, an itemised repair estimate and proof of purchase from Meridian Joinery for claim 40318.” Obtainr asks what the photographs need to show, whether a quote or an invoice is required, and what proof of purchase is acceptable — and holds every reply to that.
It goes out from your mailbox
Gmail or Outlook, connected once with OAuth. Your address, your signature, your existing thread. Replies land in your inbox where you'd expect them. Nothing is relayed through a third-party sending domain, and there's no "sent on behalf of" header.
They get a link and a QR code
Each chase carries an upload link and a QR code. A client standing in a flooded stockroom photographs the damage and sends it in under a minute, with no account and no app. That immediacy is worth more on a claim than on anything else — evidence gathered on the day is better evidence.
The reply comes back, and gets read
If three photographs arrive and no estimate, Obtainr says so and asks for the estimate on the same thread. If the estimate arrives but isn't itemised, it asks for an itemised one — which is the request that would otherwise be made by the insurer, three weeks later.
A case, end to end
A commercial client has water damage to stock. They send eight photographs of the room and a one-line quote from their builder reading “make good — £4,800”.
Obtainr checks the reply against the requirements — photographs showing the source and the damage, an itemised estimate, proof of value for the stock — and reports one of three satisfied. It sends a short email asking for the estimate to be broken down and for purchase records for the stock, explaining in one sentence why the insurer will ask.

Where it stops, plainly
Where it stops, plainly. Obtainr is reply-driven. When a reply arrives it reads it and, if your requirements aren't met, sends the next chase. It does not yet follow up on a timer against total silence — if someone never responds at all, the chase waits and you make the call. That's a real limitation and it's on the roadmap. Everything else it doesn't do.
On a claim, a client who has gone completely silent is often a client in difficulty, and that's a phone call rather than an email. The gap Obtainr closes is the fortnight of nearly-right evidence in between — the photograph that doesn't show the source, the estimate that isn't itemised, the proof of value that's a screenshot of an eBay listing.
Questions insurance brokers ask
Is this suitable for regulated communications?
Obtainr sends from your own mailbox, on your own thread, so every chase sits in your existing mail record exactly as if you'd typed it — which is usually what your file and retention arrangements are built around. It does not classify communications, apply regulatory disclaimers, or make suitability judgements, and you remain responsible for what goes out under your name. If you want a person to see every message first, approval mode holds each one until you say so.
Can it chase a third party's insurer or a loss adjuster?
It can email any address you give it and read what comes back. Whether that's the right approach on a given claim is your judgement — but the mechanism doesn't care who the recipient is, and none of them need an account.
What about renewals rather than claims?
Renewals are the same shape: a list of things you need from a client by a date. Updated turnover, headcount, sums insured, changes to material facts. Obtainr chases for those and checks the answers are actually present, rather than counting a friendly reply as a completed renewal.
Does it store claim documents long term?
Documents are attached to the chase they arrived on, and upload links stop working when the chase completes or after 30 days at the latest. Obtainr isn't a document management system or a claims file — it collects things and hands them to you, and your existing systems remain the record.
