The advice takes an hour. The paperwork takes three weeks, and almost all of it is waiting on documents a client already has:

Each one arrives separately, in a format nobody agreed, over about eleven days. And a case that goes to the lender missing one item doesn't fail — it stalls, quietly, until someone in underwriting asks for it and the clock restarts.

Why the email comes first

You're chasing people who are busy, embarrassed, or both

A client who hasn't sent their statements is rarely being difficult. They're busy, or they can't find the login for the bank, or they're slightly ashamed of what's on the statement. What they need is a short, specific, unembarrassing email naming exactly one thing — repeatedly, without you sounding exasperated.

That's a tone problem as much as a time problem, and it's the reason chasing gets put off until Friday.

The second applicant

Often the harder one. Not the person who chose you, doesn't know you, and has no particular incentive to hurry.

The client's accountant

Needed for an SA302 or a certificate, works for the client rather than you, and has their own January.

A gifting parent

One transaction, ever. Will send a signed letter to an email from a named human, and will ignore anything that looks like a system.

The existing lender

Redemption statements and mortgage statements, on their own timetable, through a channel you don't control.

Obtainr sends an ordinary email from your ordinary mailbox. It works on anyone with an email address, whether or not they've ever heard of us. There is nothing for them to join.

How it works

How it runs on your work

  1. Describe the chase the way you'd brief a junior

    “Get three months' payslips, matching bank statements and proof of deposit from Daniel and Priya Shah.” Obtainr asks which three months, whether photographs are acceptable, and what the deposit evidence needs to show — then holds every reply to that list.

  2. It goes out from your mailbox

    Gmail or Outlook, connected once with OAuth. Your address, your signature, your existing thread. Replies land in your inbox where you'd expect them. Nothing is relayed through a third-party sending domain, and there's no "sent on behalf of" header.

  3. They get a secure link

    Each chase carries a secure upload link. Clients photograph payslips on their phone and send them without creating an account or downloading anything. The link stops working when the chase completes or after 30 days, whichever comes first — which matters when the documents are payslips and bank statements.

  4. The reply comes back, and gets read

    If two payslips arrive and one is missing, Obtainr says which month is missing and sends the follow-up asking for that specific month. Not “please send the outstanding documents”, which is the email that gets ignored.

A worked example

A case, end to end

A self-employed applicant needs SA302s for two tax years and an accountant's certificate. He sends one SA302, for the wrong year, plus a screenshot of his tax account.

Obtainr checks the reply against the requirements — two specific tax years, plus a certificate — reports one of three items satisfied, and sends a reply on the same thread naming the year that's missing and what the certificate needs to say. The client forwards it straight to his accountant, who replies to the same thread.

You look at the case when it's complete, rather than three times while it isn't.

Where it stops, plainly

How the chasing works, plainly. Obtainr acts on replies: when one arrives it reads it and, if your requirements aren't met, sends the next chase. It can also follow up when someone says nothing at all — you choose the wait when you start each chase (3 hours, 24 hours, 48 hours or a week), and new accounts start on a week. Set it to Never — for the account or for one chase — if you would rather follow that one up yourself. Those follow-ups only go out on weekdays between 8am and 6pm, because they leave from your mailbox with your name on them. What it still doesn't do.

Total silence from a client usually means the case has gone cold for a reason you'd want to know about, and a phone call is the right response. What Obtainr removes is the fortnight of partial replies in between — the payslip that's the wrong month, the statement that's a screenshot, the ID that's expired.

Questions brokers ask

Is it safe to have clients send bank statements this way?

Documents go to the upload page over an encrypted connection and are attached to the chase they belong to. The link is scoped to that one chase and stops working when it completes or after 30 days, whichever is sooner. Obtainr reads only the thread the chase is running on — not the rest of your mailbox — and stored credentials are encrypted at rest. It is not a substitute for your own data-protection obligations to your clients, and you should satisfy yourself it fits your compliance arrangements.

Can I use different requirements for different lenders?

Yes. Requirements are set per chase, in your words, so a case going to a lender that wants three months of statements and one that wants six are simply two different lists. Obtainr checks each reply against the list attached to that chase.

Does this replace my CRM or sourcing system?

No, and it doesn't try to. Those hold the case, the compliance record and the recommendation. Obtainr does the part that isn't in any of them: writing the chase, reading the reply, and deciding whether what arrived is what you asked for.

What about second applicants who never respond?

Obtainr will chase them on the same terms as anyone else, from your address, and check what they send. If they never reply at all it can chase again on its own — you set the wait when you start the chase, typically 48 hours for a second applicant who has already gone quiet once. It's off unless you choose an interval, so nothing goes out on a timer you didn't ask for.
